College Administrator
Hours: 14 hours per week (2 x 7 hour days - or can be split across 3-4 days)
Term: Permanent
Salary: Band D (London living wage)
Reports to: College Manager
DBS required: Enhanced

PURPOSE OF THE ROLE
The College Administrator plays an important role in the life of Equippers College and is responsible for the administration of the college on a day to day basis. This includes assisting with the application and enrolment of new students, administration required for current students and assisting with the marketing of college across different media channels. Excellence is a core value at Equippers Church and this also applies to Equippers College Administration - the little details matter to us.
The College Administrator reports to the College Manager and will be working closely with the wider team of College staff and key volunteers.

THE ROLE
Applications & Enrollment
- Play a key role in the enrolment process with students - issuing conditional offer letters, collating the key documents, reviewing these and helping move students from pending to accepted onto the course
- Populate the spreadsheet of Prospective College Students including expressions of interest, interviews and accepted students
- Arrange interviews and follow up coffees and expressions of interest
- Arrange the sponsorship of student’s visas including carrying out the necessary checks, following visa guidelines, issuing certificate of sponsorships on the Sponsor Management System (SMS), keeping the SMS up to date, and issuing travel/acceptance letters.
- Assist the College Manager with other tasks where needed.
Operations & Student Liason
- Oversee and communicate student rosters, including devotions and Sundays
- Complete the attendance
- Assist with the arranging of Missions weeks, team leading one group
- Ensure college supplies, resources and stationary are kept topped up
- Work with the student rep to organise student socials and shared lunches
- Assist with administration for the College accreditation and audits
- Take minutes from staff meetings and delegate actions
- Set up and maintain canvas - setting up course outlines, uploading slides, setting assignment deadlines.
- Edit and review course outlines and assessment outlines for each course.
- Communicate key dates with students, staff and church
- Assist with student evaluations and reports
- Report maintenance and repairs to the Facilities Manager, and assist with the upkeep of the College building
Marketing & Events
- Oversee the college social media presence on Facebook and Instagram, creating a plan for each term and scheduling posts. Aiming for 1 post per week that covers either college culture, updates on what students have been doing, promotion of interest nights etc.
- Work with photographers to ensure regular photos are being taken and edited and organise the photos of students taken on Sundays / events / midweeks
- Redesign and develop the emails sent to interested students, and ensure the mailchimp automations are operating correctly
- Create event pages on Planning Center for college interest nights / open nights
- Champion Equippers College within church, in particular helping to establish Equippers college in the culture of youth & YA
- Assist in arranging Interest Nights and Open Nights
- Oversee the College Stands throughout the year and at key events e.g. Shout and YxYA and assist with organizing the College Experience at Shout and YxYA.
